Game On VBS Leader/Volunteer Meetings

As a VBS Director you will want to prepare your Volunteer team as much as possible and as soon as possible. So if your VBS will be held in June you need to start your meetings in March. Does that seem to early? It’s not, trust me. Your volunteers will be busy between March and the end of May. So the more time you give anyone the better prepared they will become. Game On VBS Leader/Volunteer Meetings.

Why 3 meetings? You might be asking this question. Let me break down each of these meetings

 

Game On VBS Leader/Volunteer Meetings

These 3 meetings will prepare your volunteers as you plan VBS. You will want to hold one each month leading up to VBS week. Starting no later than March, one in April and a final one in May.

Meetings:

– First meeting you will introduce the theme and lessons.
– Second meeting you will hand out Bible Study material and talk about registration, decorations and rotation schedule.
– Third meeting- tie up loose ends and give decoration ideas, setup time and tear down times and expectations.

Sample Meeting One – March

  • Welcome volunteers and encourage them to print their name on a paper provide for giveaway/drawings for later. Have a bowl or basket to place their paper in.
  • Have a snack they can munch while waiting for the meeting to start.
  • Start with prayer.
  • Introduce theme and play promo video.
  • Do a Giveaway drawing- Have a table filled with decorations to use for the classrooms.
  • Review VBS Dates and Times.
  • Briefly review the Bible lessons – have an handout would be very handy.
  • Do a Giveaway drawing-decorations
  • Briefly review last year VBS numbers, items that worked or didn’t work.
  • Teach the Game On Theme Song
  • Ask volunteers to check with you where they plan to serve
  • Assign classrooms
  • Do one last Giveaway drawing
  • Close with Question/Anwers
  • Pray for the group

Second VBS Leader/Volunteer Meeting – April

  • Welcome volunteers and encourage them to print their name on a paper provide for giveaway/drawings for later. Have a bowl or basket to place their paper in.
  • Have a snack they can munch while waiting for the meeting to start.
  • Start with prayer.
  • Play the Game On Theme Song and then teach another Game On song
  • Hand out folders with labels that has each Coach and Assistant

 

Coach/Assistant Folders
Include:

  • Rotation schedule
  • Brief overview of lessons
  • Brief overview of expectations worship rally and closing
  • Review registration checking and check out
  • Brief decoration ideas
  • List of volunteers
  • Map of locations
  • List of daily snack
  • Hand out lesson material

Third VBS Leader/Volunteer Meeting – May

  • Welcome volunteers and encourage them to print their name on a paper provide for giveaway/drawings for later. Have a bowl or basket to place their paper in.
  • Have a snack they can munch while waiting for the meeting to start.
  • Start with prayer.
  • Play the Game On Theme Song and then teach another Game On song
  • Discuss prayer walk for the day before VBS begins
  • Review Setup times and take down times
  • Discuss the Ending/Closing VBS Program
